About the Job
Essential Responsibilities:
We are seeking a Project Purchasing Assistant to join our team at Alliant Systems. We offer a wide spectrum of services – new construction, tenant improvement, engineering, maintenance, controls, energy services and commissioning. This position is responsible for a broad range of tasks to support the Purchasing Manager and Department.
The Purchasing Assistant performs the following:

Manage project documentation – operations and maintenance manuals, electronic submittal books and procurement logs

Assist Estimating Department with document management, quantity take-offs, and bid solicitation

Read specifications and drawings
-
Issue purchase orders and subcontracts
-
Request, organize, and file all documents associated with purchase orders and subcontracts
-
Maintain purchase order records in accounting software and become familiar with cost codes

Work directly with our vendors/subcontractors to procure quotes and submittals

Track equipment lead times and their ETA’s

Online ordering for office
-
Purchase order entry
-
Contact vendors on order confirmations
-
Keep personnel notified regarding the status of orders

Become familiar with the basic materials and vocabulary used in the trade

Intermittently answer and handle incoming calls and visitors

Process and managing purchasing deliveries using USPS, UPS, FedEx.

Assist with front desk phone coverage

Perform additional tasks as assigned
Requirements:
The candidate must possess the following skills and abilities:
-
Previous construction and/or purchasing industry experience is a plus

Proficient using Microsoft Office Products, Adobe, and Bluebeam
-
Possess superior organizational skills

Ability to build constructive and effective working relationships with Alliant personnel and vendors
-
Possess excellent verbal, written, listening, persuasion and interpersonal skills
-
Ability to work independently with minimum supervision or in a team atmosphere
-
Self-motivated and responsible, can prioritize tasks and meet deadlines
-
Ability to accurately and calmly handle multiple tasks with frequent interruptions
-
Willing to learn new tasks

Valid license and clean driving record required
