ABOUT THE JOB:

Essential Responsibilities

  • Generate service work order billings; interact directly with service technicians to ensure timely processing of service billings

  • Generate service contract monthly billings

  • Keep track of customer PO numbers and billing requirements

  • Set up new work sites and new customers

  • Answer service AR customer inquiries; respond to inquiries promptly and in a professional manner

  • Service invoice collections

  • Account setups for new customers (third party websites)

  • Close out completed maintenance work orders on a monthly basis

  • Credit card processing and cash receipts posting

  • Service PO GL coding and problem solving; enter purchase orders details

  • Process work order labor transfers

  • Process service subcontractor invoices for service regional accounts

  • Collection of service technician reimbursements, allocations to work orders and GL coding

  • Assist with Company credit card reconciliations and charging purchases to work orders

  • File, organize and maintain all paperwork connected with above referenced tasks

  • Participate in cross training

  • Perform additional tasks as assigned

 

Qualification Requirements:

  • 5+ years accounting experience

  • High school graduate or equivalent

  • Ability to effectively interact with customers, technicians, sales and office staff

  • Knowledge of the HVAC industry (preferred)

  • Experience working an accounting system and invoicing

  • Tech-savvy and can easily get used to new computer systems and software

  • Excellent organizational skills

  • Ability to accurately handle multiple priorities and meet deadlines despite frequent interruptions

  • Ability to maneuver between fluctuating priorities

  • Research and troubleshooting abilities

  • Detailed oriented

  • Possess strong written and verbal communications skills

  • Project a friendly, professional attitude toward co-workers and customers

  • Ability to participate productively in a team environment

  • History of good employment attendance
