Service Support Specialist

ABOUT THE JOB:
Essential Responsibilities:
The Service Support Specialist works within the service department, performing administrative activities for our service department, including; setup of new customer contracts, approving technician time, proofreading/editing of proposals, travel management, reporting, and general assistance of the team.
The Service Support Specialist performs the following:

Setup new customer contracts in Spectrum

Approve, review, and submit Service Technician time
-
Process service contract addendums and cancellations
-
Open, monitor, and purchase FieldConnect seats
-
Manage company parking passes; track, renew, and purchase additional
-
Minor Label permits ordering and processing
-
Edit and proof proposals
-
Travel booking and management for out of town work
-
Manage certificate of insurance requests
-
Run contract profitability reports
-
Create contract binders/packets
-
Manage department credit card
-
Order department supplies and Tech apparel
-
Research and order hard to find parts online (eBay, etc.)

File, organize and maintain all paperwork connected with above referenced tasks

Assist reception with phone coverage
-
Participate in cross training
-
Perform additional tasks as assigned
Requirements:
-
3+ Years admin or customer service experience
-
Proofreading experience
-
Ability to effectively interact with customers, technicians, sales and office staff
-
Knowledge of the HVAC industry a plus
-
Tech-savvy and can easily learn new computer systems and software
-
Excellent organizational skills
-
Ability to accurately handle multiple priorities and meet deadlines despite frequent interruptions

Ability to maneuver between fluctuating priorities

Research and troubleshooting abilities

Detailed oriented
-
Possess strong written and verbal communications skills

Project a friendly, professional attitude toward co-workers and customers
-
Ability to participate productively in a team environment

History of good employment attendance
Must be willing to work extended hour days when business needs demand.
